Product Rights
Hutson Tech Videos (HTV) reserves the Right to copy, use, and share videos captured from any event or any project HTV is hired. HTV reserves the Right to use any finished products for promotional purposes. HTV grants each Client the Rights to freely use and share all videos given to the Client.
Copyright Music Policy
Please consider discussing your music choices - processional, recessional, first dance, other dances, etc. - with HTV before finalizing due to copyright concerns. HTV would like to post your videos for you to be able to share without having copyright agencies flag the content with copyright violations. HTV has experienced this before, but the consequences so far have resulted in shared videos requiring ads be played at the beginning of the video. However, it is possible for copyright violations to cause the videos to be removed or the audio be silenced. HTV wants your video to have the best quality possible by being able to use music that will result in the least amount of copyright violations.
Reservation Policy
To reserve your event, a deposit of $150 is required for weddings and $100 for all other events and/or projects. The deposit is refundable up to (3) months prior to the event date. The deposit counts toward your total invoice for your event or project. HTV reserves the Right to reject any request for any reason and will not accept the deposit if the reservation is rejected.
Rushed Reservation Policy
A surcharge of 20% will be added to the overall invoice for any event or project that is reserved within (1) month of the event or project. For example, if your event is scheduled on Saturday, June 15th, 2019, and you reserve this event on Thursday, May 16th, 2019 or later, you will be charged an additional 20% surcharge. HTV reserves the Right to reject rushed reservations for any reason.
Traveling Policy
All video products and packages provided by HTV will cover traveling costs - fuel, on the road meals, and (1) night lodging - up to a 150 mile radius from Laramie, WY. If your event or project requires HTV to travel beyond 150 miles, HTV will work closely with you to make sure travel expenses are accounted for in the final invoice. You can expect HTV to charge near the IRS rate for mileage beyond 150 miles and depending on the event's location, HTV may include a portion or all of the lodging expenses as part of the final invoice.
Payment Policy
50% of the remaining invoice (original invoice minus your deposit) is due (1) month prior to your event date to the nearest business day. For example, if your event is scheduled on Saturday, June 15th, 2019, HTV requires a 50% payment on or before Wednesday, May 15th, 2019. If you are delayed in making payment, a surcharge of 5% per week, summing up to 20%, will be applied to your total invoice up to your event. The surcharge will initiate at the beginning of each week past your 50% payment due date. A surcharge will not be applied if HTV is contacted prior to the (1) month date and is given a reasonable excuse to as why the 50% payment cannot be made on time.
The remaining 50% of your invoice plus any surcharges are due within (1) month after your event or project date to the nearest business day. For example, if your event is scheduled on Saturday, June 15th, 2019, HTV requires the remaining 50% payment plus any surcharges by Monday, July 15th, 2019. If you are delayed in making payment, a surcharge of 5% per week, summing up to 20%, will be applied to your total invoice.
If you fail to make the final payment including all outstanding surcharges within (2) months after your event or project date, HTV reserves the Right to forfeit the contract, keep up to 35% of the original invoice, and not provide you with any products. It is in your best interest to provide HTV a reasonable excuse for the delayed payment prior to the (2) month deadline, as HTV will hold onto your videos and finished products up to (6) months after your event or project date. After which time, HTV may delete all captured video to make room for new event or project materials.
**All invoices include sales tax and will not be added in addition to the invoice amount.**
Cancellation Policy
You are allowed to make a cancellation at anytime leading up to your event or project date. However, HTV reserves the right to keep your deposit if the event or project is cancelled within (3) months of your event date. HTV reserves the right to keep up to 35% of the invoice, including the deposit, if the event or project is cancelled within (2) weeks of the event.
Product Storage
HTV will store all captured video and finished products a minimum of (6) months after you are provided your products. If HTV requires additional storage for other events or projects, previous projects will be erased based on completion dates after the (6) month deadline. Until this time, you may contact HTV to request digital copies of your products.
